Welcome, and thanks for choosing to use Evalu8! This Quick Start Guide will provide an overview of the five things you should do the first time you log into the Evalu8 administration page. These settings will help to customize Evalu8 for your business and ensure that the system works efficiently and reliably. Once you’re set up, we’ll walk you through sending your first review request. Don’t fret; it’s easy!
2.Setting Up Your Evalu8 Account
2.1.Verify Account Setting Information
You will have received an e-mail with the Account Administrator information. To log in, go to https://www.evalu8.net/app/admin.html.
First, navigate to the Account Settings page. You can access this by clicking on the Account Settings link beside your name. Once the page opens, verify the spelling of your first and last name, your phone number, your company name (as your clients perceive it) and your website URL.
Next, you will want to upload an image to personalize your account. This image should be a JPG, GIF or PNG file of your company logo and should be 300 by 150 pixels in size. If the image is larger, it will be scaled so the largest dimension meets the 300 by 150 pixel limit.
Now it’s time to confirm the “good review” threshold. The number in this field will determine how the system responds to star ratings (if you are using that process). A rating equal to or greater than the number you enter in this field will result in the user being prompted to leave a review on one of your social media pages. Ratings below this number will provide customers with the opportunity to provide feedback directly to you in an effort to allow you to address the poor experience. In keeping with Google’s Terms of Service, customers are always provided with links to your social media sites to provide a public review.
The Evalu8 system can automatically send reminders if the review link you have provided by e-mail or text message isn’t used within a predetermined amount of time. If you want Evalu8 to automatically resend a review request, check the “Yes” box and enter the number of hours to wait before resending. Keep in mind that your clients likely won’t want to receive text messages in the middle of the night, so choose the resend interval appropriately.
The last section on the Account Settings page determines when you will receive an e-mail, based on the customer actions. Many users limit the e-mails to only poor reviews to limit e-mail traffic, but it’s always a nice pat on the back to know when your team has done a great job!
Click the green Submit button when you are done making changes.
2.3.Customize Text for Request Messages
The Evalu8 system allows you to customize the messages sent to your customers. These messages can include wildcard fields that will be filled in automatically based on the name of the user who sends the review request and the account configuration information stored on the Account Settings page.
You can personalize the review request messages to suit the image and style of your company and your staff. HTML codes are enabled in these messages for an added level of personalization. If you have any questions about using wildcards or customizing your messages, feel free to contact us for help.
2.4.Personalize Create Review Form Language
In the same way that you can personalize the Review Request wording, you can also customize all the subsequent text Evalu8 displays once you have clicked on the Review Request link. The displayed text is specific to how you have configured Evalu8 to work and depends on the star rating the customer provides.
2.5.Add Staff Members
The last step in personalizing your new Evalu8 account is to add the names of all staff members who will interact with your customers to request a review. When you send a review request, you can select the name of he staff member who dealt with the customer and the message will, based on the text fields set in Step Four, be personalized. Click on the green Staff Member tab, then the green Add Staff button to add the name and e-mail address of your employee. Once done, don’t forget to click on the green Submit button.
3.Sending your First Review Request
Now that you have configured and personalized your Evalu8 account, it’s time to request your first review. This is a great opportunity to give the system a test drive. You may want to send the first review request to yourself or a staff member to ensure everything looks and reads exactly the way you want.
Here’s how to get started:
- Click on the blue Review Requests tab.
- Click on the green Add Review Request button.
- Select the name of the staff member who asked permission to send your customer a review.
- Enter the customer’s first name and last name, paying close attention to spelling.
- Enter the phone number and/or e-mail address you have for your customer. (*1)
- Enter any relevant information in the Miscellaneous field. The customer will not see this information. In most cases, this is an invoice number. This field is not required.
- Confirm that the system is configured for the Default Review Option you want. (*2)
- Click Submit.
There you go!
You’ve sent your first review request. Your customer will soon receive an e-mail and/or text message asking for a review of their experience with your company.
*1 – The Evalu8 system can send an e-mail, a text message or both to your customer. If you populate both fields, they will receive both formats. If you populate only one field, that’s the contact method that will be used.
*2 – At the top of the Add Review Request page you will see either “Reviewers asked to enter star rating before proceeding” or “Reviewers sent straight to social links.” This is the default setting as determined in the Create Review Forms page. If you want to override this setting for a single Review Request, set the Override Default Review Option to Yes.
